Job Summary: The Administrative Assistant serves as the initial point of contact for all internal and external customers.
The position must anticipate and meet the customer needs in a timely manner and ensure customer satisfaction through the process of monitoring, developing, improving, and delivering excellence in products and services.
The Administrative Assistant will provide general office support to the Human Resources department and oversee the student employment program.
Essential Functions: Perform job duties in accordance with Columbia College’s vision, mission and values, and contributes to the development of the Human Resources Department.
Practice superior customer service.
Fulfill additional responsibilities as assigned.
Display respect and civility to all constituencies in all communications.
Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
Serve as the first point of contact to customers via phone, email, fax and walk-in traffic, and College benefit information.
Greet interview candidates, provide a benefit overview, and walk them to interview location.
Assume primary responsibility for the administration of the College’s Student Employment program including but not limited to the application, new hire processing and paperwork.
Serve as the HR liaison to collaborate with students, hiring managers and Financial Aid in order to hire student employees in on-campus employment positions.
Oversee student employment budgets.
Plan and coordinate National Student Employee Appreciation week.
Administer various student programs such as Student Employee of the Month, Senior Student Employee, etc.
Take initiative to stay up-to-date with federal work study guidelines and regulations.
Order name tags for all new employees.
Process driver checks on potential new hires and current employees as applicable; maintain approved driver list; process annual MVR check to evaluate the eligibility of employees on the approved driver list.
Scan HR paper documents into paperless filing system.
Maintain the HR office supplies and order as needed.
Maintain HR office email inbox, mail and fax; distribute as necessary.
Assist with maintenance of the HR SharePoint Site.
Pickup and deliver mail to the Columbia College Mail, Imagining and Print Department.
Distribute internal mail to HR employees as needed.
Assist with HR sponsored events (i.
e.
, Employee Appreciation Luncheon, Employee Picnic, Holiday Party, Wellness Fair, Job Fair, Enrollment Days, Holiday Lighting Ceremony, United Way campaign, Career Fair, Open Enrollment, etc).
Provide assistance to all HR staff regarding various tasks and projects.
Provide backup assistance to the Human Resources Coordinators, process paperwork and process background checks on applicants receiving job offers.
Review and refer any problematic results to the Chief Human Resources Officer.
Notify hiring managers of receipt of results.
Provide assistance to the HR staff regarding various tasks and projects, including but not limited to: compiling reports; creating spreadsheets; and assisting with monthly HR trainings.
Provide support to in general HR questions.
Supervisory Responsibility: None Required Core Competencies and Professional Experience: Ability to fluently read, write, and understand the English language.
Proficiency with the following, but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.
Proficiency for using a variety of computer and technology-related software and equipment, including Microsoft Office products and database systems.
Proficiency in using web-based technologies, including database systems.
Ability to work independently and in a team environment, with or without direct supervision.
Excellent communication, interpersonal, customer service, and organizational skills.
Required Level of Education: Diploma or GED Other Requirements: Ability to satisfy, within the parameters set by the College and consistent with applicable federal, state and local laws, a criminal background check as a condition of employment.
